Operations & Executive Assistant

I run an AI-native business: a travel app, marketing work for a couple of clients, a city guide. Most of the day-to-day already runs on automations and AI tools, and I want even more of it to. What I am missing is one sharp person sitting on top of all that.

I need a reliable human over the machine. Someone to watch the automations, catch what they get wrong, do the parts that need a person, and help me automate even more. I will be honest about the rest: my attention jumps around, I change direction, and sometimes I go quiet for a few days. The job is to keep things from dropping when I do.

What the role is

Three jobs, in plain terms. You are the human layer over a business that is already mostly automated.

    Watch the machine

    The automations run on their own. You keep an eye on them, notice when a report does not arrive or a number looks wrong, and raise it with me before it becomes a problem.

  2. 02

    Do the human part

    The 20 percent a machine cannot own. Confirming and sending an invoice with judgment, chasing a client who has not paid, keeping a relationship warm, and representing me on a call when I cannot make it.

  3. 03

    Help me automate more

    Keep a running list of the manual things that should not stay manual, and help me and my AI tools turn them into automations. The goal is for your boring tasks to keep shrinking, not to protect them.

The shape of it

  • Part-time to startAbout 10 hours a week, and it grows as the business grows.
  • The pay is good for the hoursAn above-average local rate, for fewer hours than a full-time role. We work out the exact number together.
  • Mostly remote, based around MakatiMost of the work is from home, but about once a week, sometimes more, I want to meet up in person to catch up and work together, usually around the Poblacion area of Makati. I cover your transport and the extra time is paid, so you need to be close enough to get there.
  • Some afternoon hours for South African clientsThey are 6 hours behind us, so their morning is your afternoon. That is when the client work happens.
  • Async by defaultYou run from a checklist and a shared board, not from me watching over you.
  • Client-facingSometimes you are on a call representing me, so you need clear spoken English and to be comfortable on camera. Most clients keep their cameras off.
  • A feel for content is a bonusI am building my personal brand, so experience with social media and content creation, including shooting in person, is a real plus. Not required, but it helps you stand out.
  • It starts with a trialA short trial task, then a trial period, then we settle in.

The basics. Be straight with me, especially on the internet and power questions. This role cannot go dark.

My clients are in South Africa, 6 hours behind us, so their 9am to 1pm is your 3pm to 7pm. How many hours in that window can you commit?

For example Google Sheets, Google Calendar, Gmail, Notion, WhatsApp, Canva, and which AI tools.

A second SIM, pocket wifi, a cafe nearby. What is your plan B?

UPS (uninterruptible power supply), power bank, generator, somewhere with power. Roughly how long it covers you.
